Appointment Confirmation Sequence Checklist
Use this every time your team books an appointment. Print it (Ctrl/Cmd + P) or copy it for your team.
1. Same-day confirmation (within 1 hour of booking)
- Sent on a channel the contact already agreed to
- Names your company and who they booked with
- States appointment type in plain words (estimate, consult, demo)
- Includes date, time and time zone
- Includes address or call-in details
- Lists what to have ready / who should attend
- Gives a one-reply reschedule path (e.g. reply RESCHEDULE)
- Logged on the contact record
2. Day-before reminder (afternoon before)
- Short reminder with date, time and place
- Asks them to reply C to confirm or RESCHEDULE
- Confirmation reply logged on the contact
- Closer can see confirmed vs unverified before they leave
3. Day-of ping (only if still silent)
- One short morning ping max
- No more than one follow-up if they stay silent
- Closer notified before travel / dial time
4. No-show recovery (same day)
- Outcome logged as no-show on the contact
- Dated follow-up task created with an owner
- One short reschedule message sent (no guilt trip)
- Reminder sequence stopped so it doesn't keep firing
- Next attempt scheduled (same day or next morning)
5. Ten-appointment audit
- Last 10 bookings checked for same-day confirm
- Day-before reminder present
- Confirmation replies visible on the record
- No-shows have same-day recovery tasks
- All of the above visible without hunting other apps
